How Does a People Counting System Work, and Does It Record Video?
The two questions we hear most about people counting systems are: how does it work, and does it record video? The second one is a fair question, because any system installed where people are present raises a personal data question. This article explains which technologies these systems use, which one works where, what the system actually stores and what determines the result during installation.
What Is a People Counting System For?
Knowing how many people passed through a door is not a goal in itself. The number gains value when it becomes the input to a decision:
- Retail: compare visitor count with receipt count to see the conversion rate, and plan staffing around peak hours.
- Factory and warehouse: measure zone occupancy, transit traffic and how often a hazardous area is entered.
- Facility management: plan capacity, cleaning and HVAC according to floor and hall occupancy.
- Events and trade fairs: follow live occupancy and booth traffic.

How Do Counting Systems Work? Four Methods

In practice the most stable results at doors and passages come from depth based systems. The reason is simple: depth data makes it easier to separate a shadow from a person, a shopping trolley from an adult, and two people walking side by side from one. Does It Record Video?
The question to ask is what the system processes and what it stores. In a properly designed counting system the image is processed on the device and only event data leaves it. What reaches the server is not video but the information that “one person entered at 14:05”.
The framework we apply in the field rests on these principles:
- No facial recognition and no identity matching.
- The unit of measurement is the crossing event and zone occupancy, not the person.
- Raw footage is not archived; counter data is stored with a limited retention period.
- Scope, purpose and retention are announced to employees and visitors in advance, with the required privacy notice prepared.
- The output is used for space and process decisions, not for individual performance tracking.
Not using facial recognition reduces the risk but does not by itself place the system outside data protection legislation. That is why purpose, legal basis and retention period should be written down before installation.
Four Things That Decide the Result at Installation
- Mounting position and height: the counter should look straight down, directly above the line of passage. A side view cannot separate overlapping people.
- Passage width: if the door is wider than the device coverage, either add a second counter or physically narrow the passage.
- Light and floor: shiny floors, direct sunlight and glass surfaces produce errors in 2D systems. Depth based systems tolerate these conditions better.
- Network and power: how the device is powered and where the data flows must be planned from the start. This detail varies with site conditions and affects the installation schedule most.
How Is Accuracy Measured?
The accuracy of a counting system is proven at your own door, not in a brochure. The method we apply: manual counts in one hour windows during both a busy and a quiet period, compared with the number the system reports. In addition, entry and exit totals should be close to each other at the end of the day; a large gap points to a mounting or framing problem.
Putting the acceptance criterion in the contract applies here too. “High accuracy” is not measurable; which deviation is acceptable under which conditions should be written down.
The Number Alone Is Not Enough
The value of a counting system appears when the number is matched with another data set. Matched with receipts it gives the conversion rate, matched with the staff roster it gives the right shift plan, matched with the campaign calendar it shows the real effect of a campaign.
